How to Map Course-to-Indicator Evidence in 5 Steps

Every self-study report contains a curriculum map. Most of those maps are spreadsheets with courses in rows, indicators in columns, and a letter grade in each cell. They look neat. They rarely survive contact with reality.

When the visiting team asks to see evidence for a specific indicator at the intermediate level, you shouldn't have to search three different tabs to find it. This guide walks through a five-step process for building course-to-indicator evidence maps that actually work.

Why Evidence Mapping Is Harder Than It Looks

On paper, the task is simple: take every course in your program, identify which accreditation indicators it addresses, and collect evidence to prove it. But "identify" and "collect" are the hard parts.

Consider a third-year design course. It might address one indicator (technical knowledge and problem solving) at an intermediate level, another (professionalism and ethics) at an introductory level, and a third (societal and environmental impact) at an advanced level. That's three indicators, three different competence levels, all from one course. Now multiply that by 40 courses across your program, and you have a mapping exercise with hundreds of distinct relationships.

The spreadsheet approach tries to force these relationships into a grid. It can't hold them all without becoming unreadable. The result is a map that's either too high-level to be useful or too granular to maintain.


Step 1: Define Your Competence Levels Before You Map Anything

Many accreditors use a three-tier competence framework: Introduced, Intermediate, and Advanced. Every course-to-indicator mapping needs to declare which level it operates at.

Before you touch the mapping, agree on what these levels mean in your program's context. "Introduced" might mean the concept appears in lectures but isn't assessed. "Intermediate" means students demonstrate the skill under guided conditions. "Advanced" means they apply it independently.

Write these definitions down. Share them with faculty. If you don't have a shared understanding of competence levels, your evidence map will be inconsistent — and the visiting team will notice.

Practical tip: Create a one-page reference document that defines each level with examples. Distribute it alongside your mapping instructions.


Step 2: Map Courses to Indicators — Not Attributes to Courses

Most programs start mapping from the top down: "Here are 12 outcome indicators, which courses address each one?" That's the wrong direction.

Start from the course. Take each course syllabus, identify the specific indicators it addresses, and assign the competence level. This works because the evidence lives at the course level — assignments, lab reports, project deliverables, exam questions. Faculty are thinking about their courses, not about abstract attributes.

When you map bottom-up, you'll discover gaps naturally. If one indicator (societal and environmental context) appears in only two courses, that's a signal you can act on. If another (foundational disciplinary knowledge) appears in 18 courses, that's a different kind of signal — you may have over-mapped, and the visiting team might question which courses genuinely contribute versus which ones are just listed for coverage.


Step 3: Collect Exemplars at the Indicator Level

A mapping without exemplars is a theory. An exemplar is a concrete piece of evidence: a student assignment, a rubric, a lab report, an exam question and answer set. It proves that a course actually delivers on the indicator it claims to address.

The collecting standard should be clear:

  • Minimum: One exemplar per course-to-indicator mapping at the strongest competence level.
  • Target: Two to three exemplars per mapping, covering different assessment methods (written, practical, collaborative).
  • Ideal: At least one exemplar per mapping that shows improvement over time — for example, a rubric from Year 1 and a revised rubric from Year 2 that reflects feedback.

Each exemplar should include a brief annotation: what it demonstrates, which indicator it addresses, and the competence level it operates at. Without the annotation, the visiting team has to interpret the evidence themselves. With it, you're telling them exactly what to look for.


Step 4: Identify Gaps — and Prioritise Them

No program's first evidence map is complete. The goal of mapping isn't perfection — it's visibility. Once you can see the gaps, you can prioritise which ones to fill first.

Here's a simple risk-based prioritisation framework:

  1. Critical gaps: Indicators with zero evidence. These are showstoppers. The visiting team will flag them, and you'll have no defensible response.
  2. High-risk gaps: Indicators with only introductory-level evidence. Your accreditor likely expects intermediate-to-advanced coverage for most attributes by the time students graduate.
  3. Medium-risk gaps: Indicators with single-exemplar evidence. One piece of evidence is fragile — if it's outdated or unrepresentative, the indicator looks thin.
  4. Low-risk areas: Indicators with multiple exemplars across multiple courses. These are your strengths. Document them well and move on.

Address the critical and high-risk gaps before the self-study deadline. The medium-risk gaps can be filled during the year. The low-risk areas just need to be maintained.


Step 5: Maintain the Map Year-Round, Not Cycle-by-Cycle

This is the step that makes or breaks the whole process. If you rebuild your evidence map every accreditation cycle, you'll spend 10 to 20 hours a week during self-study season chasing the same data you should have been maintaining all along.

A year-round approach looks like this:

  • Each semester: When faculty submit final course materials, flag any new exemplars that strengthen existing mappings.
  • Each year during curriculum review: Verify that course-to-indicator mappings are still accurate. Courses get redesigned. Mappings should reflect the current version, not the one from three years ago.
  • When new courses launch: Map them to indicators before the first offering, not after. Include evidence expectations in the course design document.
  • When the self-study arrives: You're not building a map from scratch. You're reviewing a living document that has been maintained for years.

The difference in workload is dramatic. Programs that maintain maps year-round spend an estimated 2 to 4 hours per month on accreditation tasks. Programs that rebuild every cycle spend 10 to 20 hours per week during the three to four months before the visit. That's the difference between a sustainable process and a periodic crisis.


Tool Choice Matters — But the Process Comes First

You can run this process in a spreadsheet. It will be painful, and the map will be harder to maintain than it needs to be, but it's possible.

A connected evidence map makes it easier. You can navigate from a course to every indicator it contributes to, see what exemplars exist for each one, and identify gaps without scrolling through 200 rows. You can assign competence levels with a dropdown instead of typing "I" or "A" into cells and hoping everyone uses the same convention.

But the tool is secondary. The five steps above are the work. The tool just makes the work manageable.
